POSITION SUMMARY
We are seeking a highly detail-oriented Print Production Specialist to support the preparation, organization, and quality control of digital files used in print production. This role is primarily focused on prepress, file setup, and production execution of files created by the curriculum design team, ensuring that all artwork, layouts and production assets are accurate, print-ready and delivered to the production team on schedule. It’s a blend of technical precision, workflow coordination and creative problem-solving.
The ideal candidate brings strong InDesign expertise and print production knowledge, with the ability to build, troubleshoot and deliver accurate, print-ready files in a fast-paced environment.
This is a temporary/contract position anticipated for approximately one year, with the potential to convert to a permanent role based on performance and business needs.
POSITION RESPONSIBILITIES
File Management & Prepress
  • Organize, review, and maintain all incoming digital files for print jobs.
  • Prepare and convert files into print‑ready formats (PDF/X standards, bleed, crop marks, color profiles).
  • Build and maintain InDesign documents using correct page size, margins, bleeds, and slug settings for print production.
  • Use InDesign Packaging to collect fonts/links and ensure all assets are included and properly organized for handoff and archiving.
  • Resolve InDesign production issues such as overset text, missing/modified links, font conflicts, transparency, and effective resolution problems.
  • Export press-ready PDFs from InDesign using appropriate PDF/X presets, compression, marks/bleeds, and color conversion/output intent settings.
  • Perform preflight checks to identify missing fonts, low‑resolution images, color issues, or layout errors.
  • Troubleshoot file problems and communicate corrections to designers or clients.
  • Ensure consistent naming conventions and version control across all assets.
Production Coordination
  • Collaborate with print operators to ensure files meet equipment specifications.
  • Manage job queues and prioritize files based on production deadlines.
  • Upload, archive, and track files through the production workflow.
  • Maintain digital asset libraries for repeat jobs and long‑term clients.
Quality Assurance
  • Verify color accuracy, layout integrity, and print specifications before releasing files to production.
  • Review separations, overprint, spot colors, and rich black settings in InDesign/Acrobat to help ensure accurate output on press.
  • Conduct test prints or soft proofs when needed.
  • Ensure compliance with brand guidelines and print standards.
Communication & Collaboration
  • Serve as the primary point of contact for file‑related questions from clients, designers, and internal teams.
  • Provide guidance on best practices for file preparation.
  • Document processes and maintain clear communication across departments.
POSITION QUALIFICATIONS
  • Strong proficiency in Adobe Creative Cloud (InDesign, Illustrator, Photoshop)
  • Advanced InDesign skills including master pages, styles (paragraph/character/object), long-document features, and template creation
  • Working knowledge of InDesign preflight, packaging, font management, and link management for reliable print handoffs
  • Ability to export press-ready PDFs from InDesign (PDF/X presets, marks/bleeds, output intent) and troubleshoot common production issues (transparency, overprint, ink coverage)
  • Experience with RIP software and digital print workflows
  • Understanding of color management (CMYK, spot colors, ICC profiles)
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple deadlines in a fast‑paced production environment
  • Familiarity with large‑format, digital, or offset printing is a plus
  • Solid understanding of print production workflows and prepress standards
  • Excellent attention to detail and ability to spot technical errors quickly
  • Ability to manage multiple projects and meet tight deadlines.
