Job Description

At Avenues São Paulo, every interaction is an opportunity to engage, serve and connect. As the Admissions Operations Assistant, you'll play a pivotal role in shaping the first impressions of prospective families. Reporting to the Admissions Operations Manager, you’ll be the friendly voice, the proactive problem-solver, and the behind-the-scenes organizer who ensures every lead's journey begins with a seamless and positive experience.

This isn't just about managing tasks—it's about creating moments of connection that set the stage for lifelong partnerships with our school community.

What You'll Do:

Engage, Inspire, and Qualify Leads

  • Be the first point of contact for new families who register for events and request information: answering questions, sparking excitement, and ensuring they feel valued from day one.
  • Call event registrants to confirm attendance, offer personalized insights, and guide them through what to expect.

Elevate the Event Experience

  • Follow up after events to collect feedback, nurture relationships, and answer any lingering questions.
  • Act as the bridge/liaison between leads and the admissions team, scheduling meetings and ensuring smooth transitions to the next stage in the enrollment process.

Streamline Enrollment and Re-enrollment Like a Pro

  • Review and verify enrollment and re-enrollment documents, making sure every detail is accurate and compliant with the school's requirements.
  • Partner with the Admissions Operations Manager to keep the enrollment process smooth, efficient, and family-friendly.

Champion Data Integrity

  • Maintain up-to-date records in our CRM system, tracking everything from lead engagement to enrollment outcomes.
  • Report on key metrics to support the Admissions Operations Manager in decision-making and planning.

Qualifications

What You'll Bring:

  • A natural talent for customer service, with a knack for making every interaction memorable.
  • Outstanding verbal and written communication skills in Portuguese and English that leave leads informed and inspired.
  • Impeccable organizational abilities—you can juggle multiple leads, tasks, and follow-ups with ease.
  • Familiarity with CRM tools like HubSpot or Salesforce (a plus, but we’re happy to train the right candidate).
  • Tech-savviness and a proactive, can-do attitude.
  • Fluency in Portuguese and English
