About the Role
THE OPPORTUNITY
At Avenues, the admissions process is the first step in building a deep, lifelong partnership with our families. We are seeking an Admissions Analyst to be the welcoming voice, proactive organizer, and guide for prospective families embarking on their Avenues journey.
Reporting to the Director of Admissions and Enrollment Management, you will play a pivotal role in shaping how the world perceives our school from the very first interaction. You will support the full admissions lifecycle, from the initial inquiry through screening to supporting enrollment and families onboarding.
In this role, you balance a high-touch, personalized customer service mindset with the operational precision needed to move families smoothly through our admissions funnel, ensuring that our "worldwise" mission is felt at every step.
WHAT YOU WILL DO
1. Warm Connections & First Impressions
The Welcoming Voice: Serve as the primary, high-quality point of contact for prospective and enrolling families. You will ensure timely, informative, and deeply warm communication across all channels (email, WhatsApp, phone, and CRM).
Relationship Nurturing: Constantly interact with prospective families to sustain engagement, addressing outstanding questions, and following up after admissions events to collect feedback and build trust.
Intake Contribution: Drive the enrollment of new families by executing a seamless first screening experience, aligning your daily efforts with the school's intake and enrollment targets.
2. Funnel Management & Cross-Functional Collaboration
Funnel Orchestration: Act as the vital liaison between prospective families and the broader admissions team, coordinating calls, campus visits, and next steps to ensure a frictionless progression through the funnel.
Cross-Team Synergy: Partner closely with the Admissions Associate, Data Analyst, and Finance team to ensure timeline compliance, smooth data tracking, and a family-friendly enrollment process.
Events & Content Support: Contribute actively to the planning, outreach, confirmations, and follow-up content for admissions and community events.
3. Data Integrity & Onboarding Compliance
CRM Governance: Maintain accurate, up-to-date, and meticulous records within our CRM (HubSpot) and enrollment trackers, giving the admissions team full visibility into each family’s unique journey.
Document Verification: Review and verify enrollment and re-enrollment documentation, ensuring every detail is accurate, complete, and fully compliant with school requirements.
Seamless Onboarding: Guide newly enrolled families through school systems, policies, and operational requirements, coordinating internally so that everything is ready for the student’s first day.
About You
ABOUT YOU
You hold a Bachelor’s degree (Education, Business Administration, Communication, or a related field) and bring at least 4 years of professional experience, ideally within a high-end customer service, hospitality, or educational environment.
Exceptional verbal and written communication skills in both English and Portuguese. You communicate with clarity, warmth, and a professional tone that inspires confidence.
You have a natural gift for creating positive, highly personalized, and memorable experiences for every family you interact with.
You are highly organized and comfortable managing multiple workflows and systems simultaneously. Prior experience with CRM tools (specifically HubSpot) and a knack for learning new technologies quickly is a significant plus.
