JOB OVERVIEW
The Student Administration and Attendance Officer reports directly to the Deputy Head Pastoral and works within the Headteacher’s strategic framework. The postholder will attend regular line‑management meetings for workload planning, professional guidance, and review. This is a term‑time‑only position with some additional weeks, which will be outlined and discussed at interview.
This role includes but is not limited to:
• Collaborate with relevant departments to support orientation, induction, and information sessions.
• Promote a culture of excellent attendance in line with school expectations and pastoral standards.
• Deliver student information sessions related to administrative processes, including attendance and curriculum management.
• Oversee and maintain digital attendance communication channels (e.g., Microsoft Teams), ensuring messages are responded to promptly and appropriately logged.
• Support administrative procedures for student enrolment, late arrivals, early leavers, and sign‑in/out systems, ensuring accuracy and safeguarding compliance.
• Assist with the management of room allocations, timetable changes, and student enrolments within the timetable, when required.
• Manage cover arrangements for staff.
• Maintain high accuracy when updating rooms, student timetables or curriculum structures.
• Exams invigilation duties when required.
• Follow the agreed process for first‑day calling and escalation when a student's absence is unexplained, ensuring immediate action in line with the attendance policy and safeguarding procedures.
• Carry out regular register checks to identify any student unaccounted for, ensuring immediate communication with the Deputy Head Pastoral/DSL regarding urgent concerns.
• Produce weekly attendance reports and data insights for pastoral leaders, highlighting key trends and students at risk of low attendance.
• Ensure all UKVI attendance‑monitoring requirements are met, including accurate and timely record‑keeping for sponsored international students.
• Support the Deputy Head Pastoral in updating attendance‑related handbooks, policies, and annual reviews.
• Assist in the maintenance of attendance registers, following up on unmarked registers and unauthorised absences with the relevant codes.
• Ensure immediate follow up and communication with teaching staff regarding any missing student or unmarked registers
• Monitor patterns of absence and punctuality, escalating concerns to pastoral directors as appropriate.
• Communicate with parents/guardians regarding unexplained absences, ensuring outcomes are logged accurately and promptly.
• Liaise with group (CATS Global salespersons) and external stakeholders, agents, as required.
PERSON SPECIFICATION
Essential
• Strong administrative and organisational skills with excellent attention to detail.
• Clear, confident, and sensitive communication skills with students, parents/guardians, and staff.
• Ability to maintain confidentiality and follow safeguarding procedures
• Dependable, proactive, and able to work independently as well as collaboratively.
• Commitment to ongoing professional development.
• Demonstrates integrity, enthusiasm for education, and the ability to engage effectively with diverse stakeholders.
• Confident using digital communication systems and administrative platforms.
Desirable
• Experience working in a school or pastoral, or student-facing environment
• Experience supporting international students
• Mandarin Chinese speaker
• Proficiency in school MIS systems- specifically ISAMS, or a willingness to learn
• Experience analysing data and producing reports (with aid of Microsoft Excel and school MIS systems (ISAMS)
