As an RFP Response Specialist, you will be creating and responding to proposals for some of the largest research organizations in the country, including universities, healthcare systems, and government institutions. You will manage the proposal response process from start to finish, coordinating with Sales, Marketing, Engineering, Product, Professional Services, and legal to ensure accurate and timely responses.

This role will maintain and update the existing RFP response database to ensure accuracy and consistency, as well as categorize past RFPs for easy reference and reporting. In addition to responding to RFPs, RFIs, and security assessments, you will create standardized templates to be used both in responses, as well as preemptively with prospects. As Cayuse is a fast growing organization, you will not only work on proposals but also be tasked with additional responsibilities to assist the sales organization in our continued success.

Responsibilities

  • Manage multiple RFPs simultaneously to ensure responses are accurate, professional and are submitted by the required deadlines.
  • Review complex solicitation documents to identify tasks/requirements and determine the most effective response approach/structure for a compliant response.
  • Act as a knowledgeable resource providing solicitation/proposal process related expertise.
  • Work collaboratively with Sales Executives/Account Executives and departments across the company to tailor responses to address prospect’s requirements and objectives.
  • Develop (write, edit, format, and proofread) proposals, using Microsoft Word and PowerPoint, with speed and accuracy.
  • Ensure proposal responses are compliant with specific request for proposal (RFP) requirements, as needed.
  • Establish and manage timelines carefully and serve as a project manager for the full proposal process, keeping the team and document on task to deliver a complete final document on time.
  • Develop new or customized content to respond to unique proposal RFP questions.
  • Manage the proposal content library for easy reference and accuracy of responses, including commonly used white papers, reference documents, and VPATs.
  • Research and request information on lost proposals through the Freedom of Information Act.
  • Create standardized proposal templates for specific product lines and industries.
  • Stay knowledgeable on our current product line to ensure accurate and relevant response.
  • Manage a dynamic queue of assignments, prioritizing appropriately to meet strict submittal deadlines.
  • Be a team player willing to work outside of the box and expand responsibilities in a growing organization.
  • Utilize RFP software such as Loopio.

Qualifications

  • Bachelor's degree or equivalent experience required.
  • Minimum of 3 years of related project management, persuasive writing, journalism and/or sales and marketing experience required.
  • Experience with government, higher education, and healthcare organization proposals preferred.
  • Excellent knowledge of English grammar, spelling, and composition, both written and verbal.
  • Self-directed professional with strong interpersonal and client-service skills.
  • Effectively interface with employees and leaders at all levels within the firm.
  • Strong attention to detail, including proofreading and editing skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and SharePoint).
  • Extensive knowledge of Microsoft Word preferred including using styles, graphics, tables, fill-in fields, Quick Parts, cross-references, etc.
  • Experience with Adobe Creative Suite, Salesforce.com, and Loopio preferred.
  • Prior SaaS software experience a must have for this position.
