The Team

The investment team's goal is to build a world-class investment portfolio to help fund CZI’s ongoing operations over the long term. The investment program pursues a “manager of managers” approach, scouring the globe to find extraordinary investment organizations that invest across a wide spectrum of styles and asset classes. The team is led by Chief Investment Officer David Lee, and includes two executive assistants.

We are looking for an Executive Assistant to provide administrative support for the Managing Director, Director, and the broader non-marketable investment group. The support will range from scheduling travel and meetings, drafting correspondence, processing expense reports, coordinating internal processes, and organizing team events, among other duties related to investments.

We have a “one team, one portfolio” approach, in which every team member takes ownership for our collective success. Candidates should be comfortable with a fast-paced environment and possess an ability to navigate ambiguity effectively. Candidates should be collaborative, eager to learn, nimble and proactive. Applicants must have strong communication skills, incredible attention to detail, must be able to work independently, and always be one step ahead. The person in this role will need to be a masterful problem-solver and an organizational whiz.

What You'll Do

  • Manage an extensive array of administrative tasks for the senior leaders on the team that require you to organize logistics: wrangle hectic calendars and prioritize time, plan events, etc.
  • Leverage critical thinking skills and anticipate the needs of the senior leaders and proactively seek appropriate resources to support the team
  • Coordinate global and complex travel schedules and arrangements, administrative priorities and contribute to projects outside of normal scope when needed. Requires significant collaboration with the existing executive assistants
  • Manage timely and accurate expense reporting
  • Track and report on multiple projects and processes to move work forward, which at times will require utilizing your general understanding of investments.
  • Other tasks as requested, including but not limited to investment support work such as pipeline management

What You'll Bring

  • 7+ years of professional experience with related administrative, operations or project management work in a fast-paced environment
  • Experience supporting senior level leaders in the banking or finance industry is preferred, but not required
  • Excellent organizational skills: a self-starter with strong foresight, reliable, and outstanding attention to detail
  • Excellent written and verbal communication skills
  • Strong time management skills with the ability to multitask and prioritize across projects to meet deadlines
  • Proven ability to work collaboratively in a team environment
  • Excellent judgment, and respect for confidentiality and ethics
  • Tech savvy, comfortable communicating virtually and learning new office tools (especially Google Apps like Gmail, Calendar, Docs, Spreadsheets, Airtable, and Slack)
  • Interest in learning about investing, contributing to our team culture, and being in the office 2-3x per week
  • Passion for CZI’s mission
