The Team
CZI supports the science and technology that will make it possible to cure, prevent, or manage all diseases by the end of this century. While this may seem like an audacious goal, in the last 100 years, biomedical science has made tremendous strides in understanding biological systems, advancing human health, and treating disease.
We build open-source software tools to accelerate science and generate more accurate and biologically important sources of data. We fund scientific research worldwide to advance the frontiers of knowledge. And we launched a family of institutes to do research that can’t be done in conventional environments. Each aspect is essential to our approach to building for the long term.
CZI’s work in science includes grantmaking programs, open-source software development, and close collaboration with its partner institutes at the Chan Zuckerberg Biohub Network. The CZ Biohub Network includes the San Francisco, Chicago, and New York Biohubs as well as the Chan Zuckerberg Imaging Institute. CZI also collaborates with institutional partners like the Kempner Institute for the Study of Natural & Artificial Intelligence at Harvard University. Join us in accelerating science.
The Opportunity
The Executive Assistant will be responsible for providing high-value executive assistant support to the Science Program team with a focus on the VP of Science in Society. The scope includes scheduling meetings, managing time, handling or assisting with many team logistics, such as onboarding, offboarding, Google Groups maintenance, liaising with members of the Leadership Team, and other duties as they arise. This is an opportunity to support a program that interacts with top researchers, technology leaders, grantmakers, patients and others seeking discoveries to prevent, manage, and cure disease.
The Executive Assistant acts as a liaison and representative for the Science team. The person in this role must have strong communication skills, be able to work independently and solve problems creatively. As a member of the Science Operations team, you’ll also help build, grow, and continuously improve internal operations for CZI’s Science initiative.
What You'll Do
- Handle an extensive array of administrative tasks for the Vice President, Science in Society, and other leaders in the Science Program organization: wrangle hectic calendars and prioritize time, book travel, plan events, expense reporting, etc.
- Anticipate needs and proactively seek appropriate resources to support your manager and the team.
- Build and develop cross-functional relationships internally and with external partners.
- Identify new systems and processes to help drive increased leader and team efficiency, effectiveness, and impact.
- Engage as an active Science Executive Assistant team member, partnering to improve organizational practices and processes and supporting coverage as needed.
- Perform other tasks as requested, including but not limited to team-specific and cross-functional event planning and project support work
What You'll Bring
- 5+ years of professional experience with related administrative, operations, or project management with prior experience supporting complex, integrated teams in a fast-paced environment
- Experience successfully supporting senior-level leaders with broad scopes of responsibility
- Excellent written, verbal, and interpersonal communication with the ability to build positive relationships quickly and with authenticity
- Can easily work with ambiguity and shifting priorities
- Excellent judgment while handling highly confidential and proprietary matters
- Agility and flexibility in a fast-paced and collaborative environment
- Strong time management skills with outstanding attention to detail and the ability to multitask and prioritize across projects to meet goals
- Ability to learn quickly and ask for help when needed
- Tech savvy, comfortable communicating virtually and learning new office tools (especially Google Apps like Gmail, Calendar, Docs, Spreadsheets and Slack)

Compensation
The Redwood City, CA base pay range for this role is $49.04 - $73.55. New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges outside Redwood City are adjusted based on cost of labor in each respective geographical market.
