Student Services Coordinator

Position Overview

Join a global company with international exposure as a Student Services Coordinator. In this role, you will play a key part in ensuring student welfare, satisfaction, and engagement, You’ll work closely with internal teams, sales offices, and external partners to deliver a smooth and supportive student experience from arrival to departure.

Key Responsibilities

  • Welfare & Student Services
  • Act as a main point of contact for students, handling day-to-day requests and student cases from opening to closure.
  • Provide welfare support including under-18 procedures, medical appointments, insurance claims, and general student wellbeing.
  • Handle disciplinary cases in coordination with the Student Services Manager.
  • Support visa and immigration-related enquiries and prepare relevant documentation (acceptance letters, invitation letters).
  • Monitor attendance procedures and ensure internal policies are followed.
  • Support student satisfaction through feedback collection, evaluations, and follow-up actions.
  • Assist with intake procedures and the organization of intake days.
  • Share emergency rota duties and respond appropriately to urgent or sensitive situations.
  • Job Club & Internship Program
  • Develop and maintain partnerships with local employers and internship providers.
  • Act as a liaison between students and companies, including outreach, follow-ups, and relationship management.
  • Support students enrolled in Job Club or placed in internships, ensuring proper monitoring and follow-up.
  • Maintain and update databases related to employers, internships, and student placements.
  • Research and share suitable job and internship opportunities.
  • Create, review, and deliver employability workshops.
  • Coordinate Job Club and partner-related events on a quarterly basis.
  • Transversal & Operational Support
  • Support reception duties and assist with walk-in enquiries and direct enrolments when required.
  • Liaise with sales offices regarding student cases, bookings, and general enquiries.
  • Collaborate closely with academic, accommodation, activities, and other internal departments.
  • Support specific programs such as 50+ and Academic Year (AY).
  • Contribute to accreditation processes, statistics, and general administrative reporting.

Candidate Requirements

  • Fluent in English (C1 level).
  • Experienced in a student-facing, customer service, or educational environment.
  • Highly organized, proactive, and comfortable managing multiple priorities.
  • Confident, approachable, and sensitive to the needs of international students.
  • Calm, solution-oriented, and able to handle challenging situations professionally.
  • Experience in an EF school and/or sales is considered an asset.
  • University education is an asset.
  • Legally able to work in Malta (EU passport or Long Term Residence in Malta).

Availability

We are looking for full-time team members to work 40 hours per week.
