The opportunity
The Creative Services division within Global Delivery Services offers support through the Centre of Document Excellence (CoDE) team. The primary focus of this role is to provide guidance and support to team members in fulfilling CoDE work requests, while leading the GDS CoDE team to ensure the effective and efficient delivery of services to EY staff in Oceania from a GDS location.
In this position, the Senior Associate undertakes a multifaceted role, acting both as a document specialist and as the leader of the GDS CoDE team. Key responsibilities include handling all tasks related to a document specialist, such as formatting and branding of document requests, in addition to managing the daily operations of the GDS CoDE team. This role encompasses performance reviews, managing the team’s work activities, and liaising with stakeholders. The role involves close collaboration with the Oceania CoDE Team Leader and the Oceania Service Delivery Lead to ensure smooth team operations. It also requires a culture of proactive knowledge sharing and teamwork among Oceania AWS CoDE and GDS Creative Services.
Furthermore, the Senior Associate is expected to maintain a strong partnership with the (onshore) GDS Liaison Coordinator, guaranteeing that all members of the CoDE document specialist team are well-trained and capable of fulfilling the needs of their customers.
Your key responsibilities
The primary responsibility of this role is to collaborate within a team framework to manage and guarantee the provision of superior Document Specialist Support, adhering to established and documented service level agreements concerning scope, quality and timeliness.
The Senior Associate is tasked with ensuring the efficient execution of document specialist support, both personally and by the team, encompassing, among other things, the following fundamental responsibilities:
- Effectively manage and process the editing, formatting and completion of documents requested by EY clients.
- Strict adherence to EY Visual identity principles and act in an advisory capacity to the business/EY clients on specialist document services.
- Keep up to date with software and equipment, including Microsoft Office applications.
- Promote and share leading practices within the AWS Centre of Document Excellence and GDS Centre of Document Excellence.
- Coordinate and supervise daily/weekly/monthly activities of the team members.
- Provide regular counselling sessions, feedback and the completion of LEAD reviews.
- Set priorities/goals for the members of the team to ensure task completion and performance goals are met.
- Coordinate work activities with managers/stakeholders.
- Identify and resolve operational problems using defined processes, expertise and judgement.
- Experience in people and performance management/supervision/coaching/mentoring.
- Providing suggestions to team members to help them increase their proactivity and provide best practice of tasks and use of systems.
- Assisting team members in fulfilling the needs of Oceania services by offering consistent feedback and engaging in solution-oriented discussions.
- Champion the culture of knowledge exchange between Oceania CoDE Team Leader and Creative Services Team leader, regionally across Oceania and on a global scale, by exemplifying best practices in knowledge sharing and fostering a collaborative environment.
- Perform other responsibilities and tasks as required to achieve the agreed performance outcomes.

To qualify for the role, you must have:
- Bachelor’s degree or equivalent.
- Good command over English (written & spoken) is mandatory.
- You must be a confirmed EY GDS employee for at least 18 months continuously.
- At least a year of experience working in a team environment completing Document Specialist support.
- Knowledgeable of Oceania Document Specialist processes, tools and scope of services.
- Preferably a part of the current or a prior ATL program but not mandatory if desired skill sets are possessed.
- Satisfactory to exceptional performance feedback received through LEAD.
- Ability to share knowledge amongst team members in a virtual environment.
