Job Title: Regional Administrator

Location: Hybrid-Geneva, IL (Applicants must live within 50-mile radius to commute to Geneva,IL office 3 days a week)

What you’ll do: Regional Administrator will focus on support for National Sales and CAS teams.

Main responsibilities:

  • Calendar maintenance and scheduling as requested – SVP, RVP, VP
  • Handle logistics for team meetings and regional Summit customer entertainment.
  • Handle logistics for in-person meetings.
  • Facilitate regional and district calls/virtual meetings.
  • Submit requests for Premiums using processes we have in place.
  • Work with manager on storage unit including payment and closing.
    • Update Storage Unit Smartsheet with accurate information.
  • Keep occasional/vacation offline tracking on spreadsheet within BOX.
  • Maintain Regional calendars (events, vacations.)
  • Conferences/Exhibits –
    • Processing necessary documents, tracking logistics.
  • Create RSVP codes, add to TeamUp, and request Campaign Source Code to track registration for meetings, and events. – Allow 48-hours to process request.
    • Provide link for requestor to run the RSVP reports.
  • Answer emails and calls from field and inside (maximum 48-hour turnaround).
  • Submit AP Vouchers that fall under National Sales/Events.
  • On-boarding new hires per individual department checklist.
  • Offboard employee per individual department checklist.
  • Expense auditing and tracking including –
  • Projects/tasks outside of what is listed above (as requested and determined by resources available).

What you’ll need:

  • 3-5 years of experience in administrative area of responsibility
  • Proficient in MS Office
  • Demonstrates time management skills
  • Possesses good communication skills

Physical Requirements

  • Might be in a stationary position for a considerable time (sitting and/or standing)
  • Constantly operate a computer
  • Must be able to collaborate with colleagues via face to face, conference calls, and online meetings
  • Must be capable of sitting, standing, and walking for extended periods of time.
  • Must be able to lift/push/carry up to 50 lbs. frequently.
  • Must be willing to occasionally travel to support meetings, including weekends.
