The Mail Operative/Facilities Coordinator is an integral part of the Clarivate Facilities team, responsible for the efficient and cost-effective operation of the mailroom service. The role manages all aspects of incoming and outgoing mail and courier arrangements for the UK, while delivering excellent customer service to employees and visitors.
Working proactively as part of the wider Facilities team, the Mail Operative ensures mailroom operations run smoothly and flexibly responds to changing business needs.
Key Responsibilities
Receive, sort, scan and distribute all incoming and outgoing mail in a timely and accurate manner
Arrange, book, and receive courier deliveries across the UK
Select appropriate courier or posting methods in line with the Shipping Guide, ensuring cost efficiency and service requirements are met
Track mail, courier items, and archive movements using onsite systems, maintaining accurate records and signatures
Process, file, and retrieve documents in accordance with established filing systems
Check and verify courier and mail related invoices for accuracy and confirm they are approved and paid in line with agreed processes
Interact with employees and customers to understand and respond to mail and courier requirements
Handle enquiries professionally, both face to face and via telephone and on email/Teams
Promote a consistently high standard of customer service
Undertake manual handling tasks safely and in line with health and safety requirements
Ensure Mail room is tidy and always organised
Carry out any other reasonable duties as required by the Senior Manager of Facilities
Working Hours
This is a full time role working onsite in our London office, Monday to Friday
