About the Role:

Executive Assistant to VP, GM & Country Leader, China

Summary

We are looking for a proactive, detail-oriented Executive Assistant to provide daily administrative and operational support to the VP, General Manager of Greater China. This role requires strong organizational and communication skills, with the ability to manage multiple tasks and act as a key coordination point across teams.

Key Responsibilities

Executive Support

  • Manage calendar, meeting schedules, and appointments, including preparation of agendas and minutes
  • Coordinate travel arrangements, expense reporting, and logistics for internal and external meetings
  • Support the preparation of presentations, reports, and briefing materials
  • Follow up on action items and support project tracking when needed

Communication & Coordination

  • Serve as a point of contact between the GM and internal teams or external partners
  • Draft and coordinate internal communications or announcements
  • Assist in organizing visits, events, and business activities involving senior stakeholders

Office & Operational Support

  • Coordinate with functional teams (HR, Finance, Admin) to ensure smooth operations
  • Support basic document filing, information flow, and signature process for internal approvals
  • Help facilitate communication between China and global teams when necessary

Requirements

  • Minimum 5 years of experience in an administrative or executive assistant role
  • Bachelor’s degree or above
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills (Mandarin and English)
  • High level of professionalism, discretion, and integrity
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
