Human Resources Manager - N. America

Job Description

In this role, the Human Resources Manager will provide support and assistance to the North America region on various HR functions, including but not limited to benefits administration, workers' compensation, employee relations, recruiting, new hire orientation, payroll data, policy administration, training activities, labor law compliance, department record-keeping, maintenance of personnel files, special projects, and other duties as assigned.

Key job responsibilities include, but are not limited to:

Employment Relations:

  • Assist with basic employee and manager coaching and counseling.

  • Complete intake process and discuss with manager.

  • Ensure all personal employee information is handled confidentially

Benefits:

  • Process and support benefits programs (health, vision, dental, life, and 401(k)).

  • Send out initial notice of benefits eligibility.

  • Handle Open Enrollment communication of changes and necessary updates/training.

  • Assists with the employee referral program recordkeeping.

  • Support the leave administration programs, including FMLA, military, and personal leaves.

Recruitment:

  • Assist managers with recruiting efforts

  • Red Carpet Administrator.

  • Coordinate some recruiting activities such as sourcing, scheduling, and conducting interviews as necessary.

Employment:

  • Create and maintain I9 files.

  • Complete all required government reporting, including EEO, AAP, and unemployment claims.

Systems:

  • HRIS support and administration and reporting.

  • Maintain content on Employee Handbook and Manager's Toolkit

  • Applicant tracking system administration and support.

  • MSS training and support for managers.

  • Assists with personnel actions, including new hires, requisitions, terminations, salary changes, performance reviews, transfers, promotions, benefits-related issues, and other personnel functions.

  • Processes changes to HRIS records and handles data integrity issues.

Policies:

  • Interpret human resources policies and procedures and respond to employee inquiries regarding policies and procedures.

  • Maintains knowledge of legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.

Processes:

  • Acts as human resources liaison for the employees

  • Assist with the performance management process.

  • Assist with compensation processes.

Reporting:

  • Responsible for all internal HR reporting, including dashboards, headcount, salary reports, and other ad hoc reports.

  • Ensure all personal employee information is handled confidentially

Time and Labor:

  • Act as a human resources liaison with payroll.

  • Support the bi-weekly payroll process.

  • Support managers in the time reporting process.

  • Leave time administration.

General Administration:

  • Maintains job descriptions and provides recommendations for updates.

  • Participate in planning meetings

  • Conduct mail merges for employee communications.

  • Maintains complete and accurate personnel files for current and terminated employees.

  • Other duties as assigned.


Minimum Qualifications

  • Bachelor's Degree or equivalent*

  • 5+ years of HR experience

  • Demonstrated sound judgment, organizational skills, and ability to handle sensitive and confidential information.

  • Excellent interpersonal and communication skills with the ability to deal effectively with all levels of employees

  • Proficiency in MS Office applications (Word, PowerPoint, Excel, Internet Explorer, and Outlook) -Attention to detail.

  • Accomplish tasks through concern for all areas and all aspects of the job: accurately check processes and tasks.

  • Sensitivity to, and ability to adhere to, strict confidentiality.

Once hired, must

  • Be aware of who the designated safeguarding lead for Kaplan Languages is.

  • Be aware of how to identify safeguarding concerns and how to appropriately respond to these

  • Complete, in a timely fashion, any safeguarding training assigned to you

  • Report any safeguarding concerns to the Designated Safeguarding Lead (DSL) in the school

  • As a member of the school team, be responsible for all aspects of our students' safeguarding and welfare in conjunction with the wider school and company management teams

  • Must pass a criminal background check

Preferred Qualifications

  • Certificate or Degree in Human Resources Management

  • Experience with benefits packages, including health insurance, 401(k) plans, etc.

  • Experience with payroll
