Position Summary
The Executive Admin Assistant (EA) will provide direct support to the Chief Academic Officer (CAO) and Chief Information Officer (CIO) and assist the Education and GTS (Goddard Technology Services) departments. The successful EA will be a dynamic self-starter who demonstrates sound judgment when making administrative decisions on behalf of the CAO and CIO. The EA possesses high integrity and discretion in handling confidential information, impeccable attention to detail, and professionalism in interactions with stakeholders (internal and external). The successful Executive Admin will demonstrate practical communication skills, both verbal and written, and show the ability to complete complex tasks and projects quickly and react with appropriate urgency to situations that require quick turnaround.
Responsibilities
- Manage complex executive calendars for the CAO and CIO, including prioritizing competing demands, coordinating internal and external meetings, scheduling multi-time-zone travel, and proactively managing daily priorities to align with business objectives.
- Coordinate travel arrangements, including accommodations, transportation, meeting logistics, and expense documentation.
- Serve as a primary point of contact for executives, communicating professionally with employees, franchisees, vendors, and external partners while exercising a high level of discretion and confidentiality.
- Screen calls, emails, and requests, responding or redirecting as appropriate, and drafting correspondence on behalf of executives.
- Prioritize and manage multiple requests and projects simultaneously, ensuring alignment with organizational and executive priorities.
- Prepare presentations, reports, and meeting documentation for internal leadership, franchise partners, and external stakeholders.
- Review and approve routine administrative requests such as purchase orders, invoices, expense reports, and timesheets.
- Maintain accurate records, filing systems, and documentation across internal platforms and education/learning systems.
- Generate reports from CRM and other business systems, and create ad-hoc reports.
- Identify opportunities to improve administrative workflows and implement tools and processes that increase efficiency and organization.
- Provide project coordination support as needed, tracking action items, deadlines, and follow-ups to ensure timely completion of initiatives.
- Maintain flexibility to support after-hours meetings and urgent business needs when required.
- Perform general administrative support duties as needed.
Experience and Competencies
Minimum Requirements
- At least 8 years of experience providing executive-level administrative support, including support to C-Suite leaders, required.
- Proven ability to prioritize competing demands, manage multiple tasks simultaneously, and maintain a high level of accuracy and attention to detail.
- Demonstrated professionalism, discretion, and ability to handle highly confidential and sensitive information.
- Excellent written and verbal communication skills required.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Microsoft Teams, Concur, and CRM systems required.
- Ability to work effectively in a fast-paced, high-demand environment with changing priorities.
- Strong customer service mindset with the ability to interact professionally with executives, employees, franchisees, and external partners.
- Highly organized, self-directed, and able to work independently with minimal supervision.
- Excellent time management, planning, and follow-through skills.
- Proactive approach to problem-solving with strong decision-making capability and sense of urgency.
Highly Desired
- Experience supporting executives in a private equity–backed environment, franchising organization, or multi-unit business strongly preferred.
- Experience in education, education services, or franchise-based organizations preferred.
- Bachelor’s degree preferred, or equivalent combination of education and relevant professional experience.
There will be periodic requirements to travel for in-person events, at the discretion of your manager or the requirement of the company.
