Job Description

This individual shall be responsible and assist the Facilities team with day-to-day activities that includes, but not limited to, the creation of purchase requests, inventory management, special building events, office moves, departmental budget tracking and review, reviewing and acting on facilities distribution list, etc…. In addition, the Facilities Intern will assist the Chicago Facilities Manager and other Facility location teams on special projects as needed. This individual will take a proactive approach to reducing costs and ensuring day-to-day processes run smoothly for a 400+ person office in Chicago.

Specific Duties and Responsibilities:

  • Cross-trains with Facility personnel to ensure the efficient day-to-day operations
  • Assists with employee office moves, which includes communication and organization of moves
  • Assists with Office Emergency Preparedness Plan, team meeting on roles, fire drill coordination and schedule
  • Collaborate with Facilities team members on sustainability initiatives
  • Assist Facilities in social employee engagement activities
  • Create purchase requests, coding, tracking and submittal of Facilities invoices
  • Support and assist Facilities on a variety of tasks related to field office construction projects
  • Perform other duties as assigned by manager

Qualifications:

  • Currently pursuing a Bachelor’s degree in Facilities Management, Real Estate, Business Administration, Engineering, Architecture, or a related field
  • Must be professional in appearance and demonstrate a high degree of professionalism
  • Excellent written and verbal communication skills
  • Intermediate to advanced skills with MS Word, Excel and PowerPoint preferred
  • Excellent time management, project planning, organizational skills, take initiative and follow through with minimal supervision to meet deadlines
  • Must be comfortable working with all levels of the organization, and external customers and vendors
  • Be willing to acquire new skills that will support and enhance the Facilities Management function
  • Be willing to work flexible hours as needed, that would include earlier arrival, later departure
  • Be willing to travel on company business, 1 to 2 times to Rochester, NY
  • Be in office a minimum of 3 days per week

ADA Physical/Mental/Workplace Requirements:

  • Occasional lifting to 25 lbs.
  • Sitting, working at desk/personal computer for extended periods of time
  • Primary work environment is within a corporate office setting

The salary range for this role is:

$20.00 - $32.50 an hour

An employee’s pay position within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.
