About the Role

Mindvalley events are well-known worldwide for creating magic and connections that change the course of lives. From Mindvalley University, with 300 events across a city over 2 weeks to A-Fest with 4 days of outstanding experiences in exotic locations, our projects bring transformation to thousands of Mindvalley students every year. We’re looking for a passionate and experienced Event Manager to join the team to help make A-Fest and other Mindvalley events happen globally and virtually.

Responsibilities

Planning and executing various logistics for Mindvalley events, such as

  • creating project plans and timelines for events
  • researching and sourcing hotels and other venues for the events globally
  • coordinating the setup, audio-visual, decor, and entertainment needs for the programs
  • sourcing and managing vendors, and suppliers, and negotiating contracts and terms
  • creating production schedules and plans, and managing the production during the events
  • coordinating F&B and venues for parties, socials and dinners
  • managing the staffing needs for the event and training other crew members
  • giving input to sales, marketing, and communications plans
  • coordinating invoices and payments
  • coordinating accommodation and travel for the crew and speakers when needed
  • creating post-event feedback surveys, analyzing, and reporting data after each event
  • any other event management-related tasks where help is needed

Technical Competencies:

  • Event Planning and Execution: Strong skills in planning and executing events, including logistics, venue management, audio-visual setups, decor, and entertainment. Ability to create detailed production schedules and plans.
  • Vendor and Partner Management: Sourcing, negotiation, and management of vendors, sponsors, and partners locally and internationally.
  • Agenda Development: Providing valuable input into event agendas, suggesting content and program improvements, and collaborating with speakers and presenters.
  • Staffing and Volunteer Coordination: Determining staffing needs, recruiting, training volunteers, and ensuring efficient team operation.
  • Sales, Marketing, and Communications: Contributing to the development of sales, marketing, and communication plans for events.
  • Budget Management: Managing event budgets, creating financial plans, and tracking expenses.
  • Problem Solving and Resourcefulness: Quick thinking and adaptability in solving event-related challenges.
  • Data Analysis and Reporting: Creating post-event feedback surveys, analyzing data, and generating insightful reports.
  • Accommodation and Travel Planning: Proficiency in creating accommodation plans, rooming lists, and coordinating travel arrangements for speakers and crew.
  • Virtual Event Management: Experience in managing the production and details of virtual events.

Experience:

  • Bachelor's degree in Event Management, Marketing, or a related field.
  • 5+ years of experience in event planning and execution.
  • Proven track record of successfully organizing large-scale events.
  • Experience with event technology and tools.
  • Strong project management skills.
  • Excellent interpersonal and leadership abilities.
  • Proficiency in budget management and financial planning.
  • Knowledge of legal and ethical standards in event management.
  • Experience with virtual event platforms and technology.
